KIMS Al Shifa Super Speciality Hospital is a tertiary level referral Hospital set up in the year of 1989, with the capacity of 75 beds, and expanded to 350 beds over the years. The hospital is one of the best trauma care centre in the south Malabar Region.

Adopted strategies for reducing patient length of stay (LOS) and Implemented processes in place that support patient flow throughout the hospital. Industrial management methodology for data-driven process improvement, computerized physician order entry (CPOE) systems reduce medication errors and adverse drug events (ADEs). Patient satisfaction, reduce waiting time, decrease workload and improve the organization’s reputation.
 
THE CHALLENGE: Data Migration 700,000 paper records
KIMS Al Shifa Super Speciality Hospital is a tertiary level referral Hospital set up in the year of 1989, with the capacity of 75 beds, and expanded to 350 beds. They have been using one complete floor for patient medical record storage.
The main objective of the institution is to convert the current hospital paper system to paper less concept. Scanning the 700,000 paper records to the system will take around 6 months, with the current staff.
Scanning process to the system is outsourced and the team has worked throughout by using sophisticated scanning machines and whole files are  completed in a month.
YASASII played a vital role by providing bulk scanning option to the system, where all records are fetched automatically from a specific storage to the specific patient files.  
 
THE SOLUTION: Patient demographics migration along with bulk scan upload tool implementation
After successful scanning of the patient records, YASASII has having a vital role in uploading all patient records into the system, by implementing demographics import tool and bulk scan upload tool. The process is automated in such a way that once scanning has been done from the outsourced company, the system will upload the files based on the unique MRD number into YASASII.
Later on the Hospital could use the medical record department  for patient bed thereby increasing the revenue. 
 
BETTER ORGANISATION PERFORMANCE: Implemented strategies which help to reduce the patient LOS and discharge time.
Delays in discharging patients can impact hospital and emergency department (ED) throughput. The discharge process is complex and involves setting specific challenges that limit generalizability of solutions.
The aim of KIMS Alshifa was to assess the effectiveness of using YASASII  to improve the patient discharge process.
The primary outcome was discharge time (time from discharge order to patient leaving the room). Secondary outcome measures included percent of patients whose discharge order was written before noon, percent of patients leaving the room by noon, hospital length of stay (LOS), and LOS of admitted ED patients.
 
YASASII is an effective change method to improve complex operational processes that have multiple stakeholders. Given a key combination of factors—leadership commitment and support, front-line engagement, and repetitive cycles of interventions based on continuous metric monitoring and reporting—deployment of YASASII can have a significant and sustainable impact on hospital throughput metrics and flow. Institutions aspiring to tackle delays in the discharge process should focus on adopting the various work flows process like discharge white board, discharge clearance from all departments and auto billing for IP patients. 
 
BEST CLINICAL PRACTICE: 98% reduction rate in medical error and 98% success rate in accurate documentation
Medication errors are a major concern of health care professionals and medical institutions. YASASII’s main objective was to reduce the medication error and alert the physician for adverse drug effects including drug allergy/drug to drug interactions.
The implementation of CPOE resulted in almost a complete elimination of medication errors. 
YASASII offers predefined data, smart notes and clinical pathways, enhanced the usage of electronic records for the patient’s medical data. Initial rejections where overcome by the effective and dedicated support by the YASASII team which helps the physicians to record the data with simplicity and ease.
Longitudinal view of EMR, past records, clinical reports, medications, notifications, decision support system helps physician  to evaluate the patient accurately. 
Time wasted for fetching the paper records, accurate prescription and online status for reporting eventually helps patient to stay in the hospital for lesser time and leave the hospital with complete satisfaction
